Junior Operations & Finance Specialist

Ashoka Poland is looking for a Junior Operations & Finance Specialist to support the smooth dayâtoâday functioning of our organization. This is a crossâfunctional role at the heart of our team, combining operations, administration, HR/talent coordination, finance, and systems work.
This role involves working with a wide range of different tasks and responsibilities that support the organization as a whole. You will have an Accountability Partner, a Finance Manager, Co-directors, and a whole team to make sure you are successful in this role. While not every task can be named in advance, we are looking for someone who is wellâorganized, reliable, and comfortable supporting work across people, processes, and systems.
What youâll do
Operations & Administration
- Support daily operations and administrative processes
- Coordinate office operations, vendors, and logistics
- Schedule meetings and support visitors
- Prepare draft organizational reports (including annual reports and GUS reporting)
- Draft resolutions and formal documents for governance bodies
Talent / HR Coordination
- Prepare and manage staff and contractor documentation (employment, civilâlaw, B2B)
- Liaise with the accounting office on payroll, contracts, and sick leave
- Coordinate recruitment, onboarding, and offboarding processes with support of the leadership team
- Support HR processes, internal events, and team activities
- Manage HRârelated workflows and data in Salesforce and with Ashoka teams
Finance & Systems Support
- Support the Finance Manager with dayâtoâday operational tasks
- Manage financial document workflows and assist with reconciliations (Saldeo)
- Maintain accurate data across Salesforce (HR & Fundraising modules)
- Support administrative aspects of fundraising and grantârelated processes
What weâre looking for
- Interest in operations, office management, administration, or HR coordination
- Understanding of HR processes and basic labor law, and willingness to learn more
- Some experience of working with financial documentation and accounting offices or willingness to learn
- Comfort working with multiple systems (inc. Salesforce, Saldeo )
- Strong organizational skills and attention to detail
- Ability to work independently and manage changing priorities
- Fluency in English and Polish
- A collaborative, proactive mindset
