Office Manager/Operation and Talent Manager

We’re looking for a Team Angel – someone who provides the team with support, tools, and resources to boost their productivity and nurtures a positive and collaborative working environment. Our ideal candidate would be a natural problem-solver, a serial-organiser, a detail-oriented coordinator with strong organizational, time management, and multitasking skills, and will be self-motivated and a strong team player.
 

We engage with an exciting and large group of constituents also from around the globe: Ashoka Fellows and staff, leading business entrepreneurs and executives, thematic experts, strategy consultants, media mavens, foundations, corporations, and more. 
We expect the candidate to enthusiastically join in some of our core organizational activities as well. This is a great opportunity to experience working in the not-for-profit/social enterprise sector and take on considerable responsibility.  

 

Our new Team Angel tasks: 

Operations: 

  • Provide general support to the team 

  • Support Finance Manager in day-to-day work if needed 

  • Schedule meetings in the office 

  • Organize office operations and procedures 

  • Manage contract and price negotiations with office vendors, service providers, and office lease  

  • Prepare yearly factual report, GUS report and help with preparation of Financial Statement 

  • Draft Resolutions for the Board and Board Of Trustees 

  • Provide general support to visitors 

 

Talent: 

  • Prepare and renew staff contracts; 

  • Liaise with local accounting company regarding payroll, new contracts, and sick leave; 

  • Set up, improve and manage HR processes according to our policies, and update policies when needed; 

  • Coordinate recruitment, on-boarding, and off-boarding of volunteers and paid staff with the Global Talent Team; 

  • Help to coordinate internal events, staff training, team building activities, and celebrations (such as Christmas dinner, etc.); 

 

Requirements and skills:

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant 

  • Knowledge of Office Administrator responsibilities, systems, and procedures 

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular) 

  • General knowledge of HR and local labor law 

  • Fluent in English 

  • Able to work on own initiative, proactively and independently, and under minimal supervision 

  • Strong team player 

  • Excellent time management skills and ability to multi-task and prioritize work 

  • Attention to detail and problem-solving skills 

  • Strong organizational and planning skills in a fast-paced environment 

  • A creative mind with an ability to suggest improvements

  • Salary in the amount between PLN 5000 - 5300 gross per month, depending on experience
